The Inbox

"Never miss what matters — every alert, one place."

The Inbox is where your notification alerts land. A score drops, a comment lands, a threshold breaks — it shows up here instantly.

How notifications work in Ombea

Before you can use the Inbox, you need notifications set up. Here's the quick version:

StepWho does itWhat happens
1. Create a ruleAdminDefines what triggers an alert — e.g. "notify me when satisfaction drops below 70"
2. SubscribeYou (any user)Choose which alerts you want to receive — via email, in the Inbox, or both
3. Get alertedAutomaticWhen the rule fires, alerts land in your Inbox and/or email
Tip:

New here? Ask your admin if notification rules are already set up. If they are, you just need to subscribe — see Choose What You Get Notified About. If not, an admin can create them in minutes — see Set Up Notifications.

Find your Inbox

Click Inbox in the sidebar. The badge shows your unread count (up to 99+).

What you'll see

The Inbox has three panels:

On smaller screens, panels collapse into a single view — use the back button to navigate.

Working with your alerts

Use the controls above the list to dial in on what matters:

  • By location or stream — see only alerts tied to a specific part of your organization
  • By type — toggle Positive, Negative, and Neutral
  • By status — show Completed, Incomplete, or both
  • By assignment — Anyone or Only me
  • Search — type to find alerts by subject text
  • Sort — reorder by creation date or other criteria

Click an alert to open it. From the right-hand panel you can:

  • Mark as completed — toggle between Mark as completed and Completed to track what's been handled
  • Assign an owner — pick a colleague to take responsibility
  • Comment — use the center panel to coordinate with your team — note what action was taken or flag next steps
  • Adjust your subscription — toggle email notifications or "mark as unread" for this specific rule
  • Delete — permanently remove the alert (alert owner only)

Click Select above the list to enter selection mode. Tick the alerts you want, then:

  • Resolve — mark all selected as completed
  • Delete — permanently remove all selected

Click Cancel to exit selection mode.

Good to know

No need to refresh. New alerts appear automatically as your notification rules fire.

If you have the Ombea app installed, alerts also trigger push notifications on your device.

Tip:

Make the Inbox part of your routine. The most effective teams check their Inbox daily, resolve alerts quickly, and use comments to keep everyone aligned. An alert that's acted on within 24 hours is worth ten that pile up.
